Technical Operations & Service Coordinator

We provide world-class machinery, support, and solutions to customers across numerous industries. We’re seeking a detail-oriented Technical Operations & Service Coordinator to join our Ashland, Virginia team and support operations, logistics, and service coordination from machine sale to delivery and lifecycle support.

Core Job Responsibilities

Inventory & Procurement

  • Monitor inventory levels and reorder stock using Odoo ERP.
  • Receive, validate, and store parts using digital shelf tracking.
  • Manage the return process for valuable exchange parts and core returns
  • Package, document, and ship core items back to Germany with proper documentation.

Logistics for New Machines

  • Determine which components and accessories for customer-specific installation must be sourced domestically.
  • Purchase and coordinate shipment with Germany or directly with the client.
  • Maintain timelines and coordinate with internal teams and vendors.
  • Complete and submit technical installation plans for each new machine (coolant, electrical, exhaust, fire suppression).
  • Ensure specifications match customer infrastructure and international assembly requirements.
  • Coordinate with Germany-based team to ensure correct pre-assembly and installation plan

Product & Sale Order Management

  • Create product records and SKUs in Odoo ERP, using vendor data and pricing rules.
  • Generate sales quotations and orders, including tariff and shipping details.
  • Ensure all orders meet documentation standards (e.g., minimum value, packing fees, UPS details).

Service Ticket & Project Tracking

  • Use Odoo ERP to manage machine status and service tickets.
  • Track machine issues, tag status changes, and document customer communication.
  • Close tickets once resolved and return machines to “Online” status.

What You Bring

  • Experience in manufacturing operations, supply chain, or service coordination
  • Experience using ERP systems (Odoo preferred)
  • Comfort with basic technical specs (e.g., voltage, PSI, flow rates)
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Familiarity with logistics, inventory, and purchasing

Bonus Skills

  • Experience with German manufacturing vendors or international logistics
  • Knowledge of industrial machine installations or fire suppression systems
  • Previous work in machine tool, industrial parts, or technical services
  • German language skills

 At our headquarters in Ulm-Einsingen, around 170 employees are involved in the development, design, manufacture and sale of machine parts and grinding machines. The high-performance REINECKER machines offer solutions for the complete process chain for the production of precision tools – from end profile grinding to cylindrical grinding and geometry grinding.

 Our subsidiary REINECKER AMERICA was founded in 2016 to support the North American clients not only with a service and application engineering team, but also to provide test grinding at our new showroom facility located in Ashland Virginia beginning in 2025.

For our growing business we are looking for a new colleague for the sales team.

 Responsibilities

  • Develop and manage existing business relationships with customers
  • Drive new business within the territory
  • Conduct product demonstrations
  • Maintain an accurate and ongoing sales pipeline
  • Manage CRM data and workflows
  • Forecast activity and revenue achievement
  • Active contribution to our growth and customer service
  • 50% travel required (Nationwide and office visits near Richmond, VA.)
  • Representation at exhibitions and shows

Requirements

  • Excellent verbal and written communication.
  • Ability to work independently
  • Strong business and technical expertise
  • Excellent communication, presentation, and active listening skills
  • Ability to read, analyze, and interpret general business documents.
  • Bachelor’s degree, or relevant work experience
  • Minimum 2-year sales experience
  • Ideally located in Virginia or willing to move
  • International travels to our headquarters in Germany

Preferred

  • Knowledge in the industry: CNC Tool and Cutter machines, Tool production
  • Knowledge of CNC Machinery
  • 5+ years sales experience
  • German and/or Spanish language skills
